Ask Invoxa: Your AI Assistant for Invoices, Expenses & Reports

Running a freelance or small business means switching between invoicing, expense tracking, chasing payments, and pulling reports. Ask Invoxa collapses all of that into a single chat. Type what you want in plain English — it drafts the invoice, logs the expense, or gives you the number.

This guide walks you through everything Ask Invoxa can do and how to get the most out of it.

What is Ask Invoxa?

Ask Invoxa is the AI agent built into your Invoxa workspace. It understands natural language commands and works directly with your invoices, expenses, clients, and reports. Every action shows a preview card so you can review and edit before anything is saved.

Open it from the sidebar → Ask Invoxa (or navigate to /ask).

1. Create Invoices in One Sentence

Just describe the invoice.

"Create an invoice for Acme Corp for $1,200 for website design work, due in 15 days."

Ask Invoxa will:

  • Match the client name to your existing clients (or offer to add a new one)
  • Fill in the amount, description, and due date
  • Show a preview card where you can edit line items, tax, or notes
  • Save & send when you hit confirm

Pro tip: Mention your tax setup — "add 18% GST" or "no tax" — and it will apply your flexible tax settings automatically.

2. Log Expenses on the Go

"Log a $45 expense for Adobe subscription under Software."

The agent categorizes it, sets today's date, and shows a preview before saving. Perfect for logging while you remember, without opening a form.

You can also say things like:

  • "Add $12 coffee meeting with client yesterday"
  • "Record ₹2,500 for office supplies this month"

3. Get Instant Financial Summaries

Skip the reports page for quick answers.

"How much did I earn this month?" "What are my top 3 clients by revenue this year?" "Show unpaid invoices over 30 days old."

Ask Invoxa pulls from your live data and returns a clean summary card with totals, breakdowns, and links to the underlying invoices.

4. Chase Overdue Payments

"Which invoices are overdue?" "Send a reminder for invoice #1042."

You get a list of overdue invoices with client, amount, and days late — plus one-click actions to send reminders.

5. Client Insights

"How much has Acme paid me this year?" "List clients I haven't invoiced in 60 days."

Great for spotting churn risk or planning outreach.

How the Preview & Confirm Flow Works

Every action Ask Invoxa proposes appears as an editable card before writing to your database:

  1. You ask"Invoice John for $500 web audit."
  2. Preview card appears with all fields pre-filled
  3. Edit anything — amount, due date, description, tax
  4. Confirm → invoice is created and (optionally) sent

Nothing hits your books until you approve it. If a preview looks wrong, just chat back — "make it $600 and add 10% tax" — and it updates.

Chats Are Organized by Time

Your Ask Invoxa sidebar groups conversations into Today, Yesterday, Last 7 Days, Last 30 Days, and Older, with emoji icons based on the topic (📄 invoices, 🧾 expenses, 📊 reports, 🔔 reminders, 👥 clients). Old chats stay searchable so you can revisit what you asked last quarter.

Prompt Ideas to Try

Copy and paste any of these to see Ask Invoxa in action:

  • "Create a recurring invoice for $2,000/month for Studio X starting next Monday."
  • "Log $80 gas expense for client visit."
  • "What's my average invoice value this quarter?"
  • "Show me all invoices paid via Stripe in June."
  • "Which client owes me the most right now?"
  • "Draft a polite reminder for invoice #2087."

Privacy & Security

Ask Invoxa only sees your workspace data. Every request runs under your authenticated session with row-level security — no other user's data is ever exposed, and nothing leaves your account. Read our security page for details.
