The 4 things every multi-currency invoice needs
- Currency code (ISO 4217) — always write
USD,EUR, orGBP, not just$,€,£. (The$symbol alone is ambiguous — is it USD, CAD, AUD, or SGD?) - Exchange rate & rate date — required for VAT/GST reporting in most jurisdictions.
- Payment method compatible with the currency — SWIFT, Wise, Stripe, Revolut, or SEPA (EUR only).

Handling exchange rates
Two clean approaches:
- Invoice in the client''s currency — Simplest for the client, you take the FX risk. Best for one-off jobs.
- Invoice in your currency — You lock in your rate, client absorbs FX. Best for long-term retainers.
Whichever you pick, lock the rate on the invoice date. Use xe.com, oanda.com, or the ECB reference rate. Print the rate on the invoice: 1 USD = 0.92 EUR (as of May 20, 2026).
Tax rules for cross-border invoices
- US freelancer → EU client (B2B) — Usually no VAT (reverse charge). Add: "VAT reverse charge applies — Article 196 EU VAT Directive."
- UK freelancer → US client — Zero-rated for VAT. Add: "Zero-rated export of services."
- EU freelancer → EU client (different country, B2B) — Reverse charge. Include both VAT numbers.
- Any → consumer (B2C) — Different rules apply; check destination-country VAT (OSS in EU, marketplace facilitator laws in US).

Do I need to convert to my local currency on the invoice?
Yes, for your bookkeeping. Show both: Total: EUR 1,000 (approx. USD 1,087 at rate above).
Should I include Stripe/Wise fees in the invoice? Either absorb them or add a "processing fee" line — but be transparent. Most clients will pay it if disclosed upfront.
What if the exchange rate changes before payment? Add a clause: "Amounts due are calculated at the exchange rate on the invoice date. FX variation on payment is borne by the payer/payee (choose)." Or invoice in the client''s currency to remove the ambiguity.
