Coaching Invoice Template (Sessions, Packages & Retainers)
A coaching invoice template for life, executive, and business coaches. Sample line items for single sessions, packages, and monthly retainer models.
Why coaches need a proper invoice
Coaching is often paid via Stripe or PayPal receipt — but a receipt isn''t an invoice, and it isn''t enough for corporate clients, tax deductions, or clean bookkeeping.
If you coach at $200+ per session, you need a real invoice. Here''s the template.

Bill to: Acme Corp
Attn: HR / L&D
PO #: PO-2026-1102 (REQUIRED — do not omit)
Description Amount
────────────────────────────────────────────────────
Executive coaching program $6,000
- Coachee: [Employee Name]
- 12 sessions, May-Oct 2026
- Monthly progress report to sponsor
TOTAL $6,000
Corporate rules:
- Always request a PO before starting
- Include the coachee''s name (but respect coaching confidentiality — don''t include session notes)
- Provide monthly progress reports at the sponsor level (themes, not content)
Cancellation policy — the line every coach forgets
Write into the invoice terms (and contract):
Sessions cancelled with less than 48 hours'' notice are charged in full. Rescheduling with 48+ hours'' notice is free.
Without this line, no-shows and last-minute reschedules kill your calendar economics.
Payment methods coaches actually use
| Method | Best for | Note |
|---|---|---|
| Stripe | Single sessions, packages | 2.9% + 30¢ |
| Recurring subscription (Stripe) | Monthly retainers | Auto-renew |
| Bank transfer | High-value corporate | Low fee |
| PayPal | International clients | Higher fees |
| ACH (US) | Corporate contracts | Low fee, slower |
For monthly retainers, use Stripe subscriptions with the invoice as the receipt reference.
Tax considerations for coaches
- US: coaching services usually non-taxable at state level
- UK: register for VAT once turnover crosses £90k
- EU: VAT registration once turnover crosses local threshold (varies)
- India: GST once turnover crosses ₹20 lakh
- Corporate wellness: some countries offer employer tax deductions — mention on invoice
What separates a professional coaching invoice
- Session dates listed — clients (and their bookkeepers) love clarity
- Confidentiality note — "Session content confidential per coaching agreement"
- Progress reference — engagement start date, session number in the series
- Cancellation terms on the invoice, not just the contract
- Clean branding — coaching is trust-based; a scruffy invoice undermines the fee
FAQ
Should I use a receipt or an invoice for a single coaching session? Invoice — even for one session. Receipts don''t include tax data, terms, or the PO number corporate clients need.
Do I need to charge tax on coaching? Depends on jurisdiction. Personal coaching is usually service-tax-exempt in the US, taxable in EU/UK/India above thresholds. Ask a local accountant.
How do I invoice a corporate client for coaching their employee? See the corporate example above. Always request a PO. Bill the company, not the employee. Include the employee''s name but nothing from session content.
Can I automate coaching invoices? Yes — Invoxa''s recurring invoices auto-send monthly retainer invoices and take payment via card, so you never miss a billing cycle.
Should I offer discounts for package deals? Yes — 10-20% off vs à la carte is standard and encourages commitment. Discount the total, not the per-session rate, so you protect the anchor price.
