Consulting Invoice Template (Hourly, Daily & Fixed Fee)

Why consultants need better invoices

Consulting sells outcomes, not hours — but invoices still need line items, timesheets (sometimes), and airtight terms. A vague consulting invoice gets pushed to procurement, redlined, and paid 45 days late.

This template gives you the exact structure enterprise clients accept.

Enterprise clients often insist on hourly with timesheets — even when you''d prefer fixed fee.

The PO number — non-negotiable for enterprise

Fortune 500 procurement won''t pay an invoice without a purchase order (PO) number on it. Always ask for the PO before starting work, and reference it on every invoice.

Missing the PO number = your invoice sits in the AP queue indefinitely.

Timesheets — when they''re required

  • Big-4 & consulting norms — line-item hours per activity
  • Government contracts — mandatory, sometimes daily
  • Legal / regulated industries — mandatory
  • Startup clients — usually not required

Track from day one with Toggl, Harvest, or Clockify. Reconstructed timesheets are legally weak if disputed.

Rate structures for consultants

Hourly:

  • Junior consultant: $100-200/hr
  • Senior consultant: $200-400/hr
  • Partner-level: $400-800/hr
  • Specialist (M&A, ML, regulatory): $500-1,500/hr

Day rate (~7 billable hours):

  • Junior: $1,000-1,800
  • Senior: $2,000-4,000
  • Partner: $4,000-8,000+

Consulting invoice must-haves

  1. PO number (if enterprise client)
  2. Engagement / SOW reference
  3. Detailed line items — activity + hours/days + rate
  4. Timesheet attachment (if required by contract)
  5. Expenses separate — travel, subsistence itemized with receipts
  6. Payment instructions — bank + card options
  7. Tax details — VAT/GST as applicable

Expenses — pass-through billing

For travel, accommodation, and client-specific tools:

EXPENSES (see attached receipts):
  Flight (SFO-NYC, May 15) $485
  Hotel (2 nights, May 15-17) $612
  Client-approved subscription (Ahrefs) $199
                                    Subtotal $1,296

Always attach receipts. Add a 0-15% admin fee if your SOW allows.

Retainer billing for advisory work

Sample monthly advisory retainer:

Advisory retainer — June 2026 $8,000
  - Up to 20 hours of advisory time
  - Weekly 1-hour strategy call
  - Ad-hoc email/Slack response
  - Overages billed at $400/hr (see SOW)

Bill in advance (1st of month) for the current month. Never bill in arrears.

FAQ

Do consultants charge sales tax? Depends on jurisdiction. Most US states exempt consulting services. EU consultants register for VAT once turnover crosses local threshold. In India, GST applies over ₹20 lakh.

Should I include timesheets on the invoice or as an attachment? Attachment is standard for enterprise. Line-item summaries on the invoice, detailed timesheet as PDF attached.

How do I invoice for a partly-completed project? Use milestones. Bill for the completed milestone amount, note remaining milestones and their triggers.

What if a client wants to pay in installments? Set up 2-4 installment invoices with clear due dates. Or use Invoxa''s partial payments to split one invoice into scheduled installments.

Should consultants offer discounts for prepayment? Yes — 2-5% discount for paying invoices within 10 days (2/10 Net 30). Improves cash flow and creates goodwill.

Next steps

  1. Copy the template into your tool of choice.
  2. Ask for the PO number before starting enterprise work.
  3. Attach timesheets when contractually required.
  4. Track expenses in real time — reconstructing them a month later loses receipts and money.
