What is a digital signature on an invoice?

A digital signature is a cryptographically verifiable mark attached to a PDF or electronic invoice that proves:

  1. Who signed it (identity)
  2. When they signed it (timestamp)
  3. That nothing has changed since (integrity)

It is not the same as a scanned image of your handwritten signature (that is an electronic signature, weaker) or drawing a squiggle on a touchscreen. A true digital signature uses a certificate issued by a trusted authority.

Are digital signatures on invoices legal?

Yes — under most major frameworks:

  • EU / EEA — eIDAS Regulation recognizes Simple, Advanced, and Qualified Electronic Signatures. Qualified signatures have the same legal weight as handwritten ones.

  • The client's AP system requires signed PDFs (common in enterprise & government)
  • You issue e-invoices under GST/VAT in jurisdictions like India, Italy, Mexico
  • The invoice covers a high-value or milestone-based project

For everyday B2B invoicing between established parties, a signature is optional.

How digital signatures work (30-second version)

  1. You hash the invoice content (unique fingerprint).
  2. You encrypt that hash with your private key.
  3. The client uses your public key + certificate to verify the hash matches — proving the invoice is unaltered and signed by you.

Certificate authorities (CAs) like DigiCert, GlobalSign, or country-specific CAs (eMudhra, (n)Code in India) issue the certificates.

Best practices

  • Use PDF/A for archival — long-term readable, supports embedded signatures.
  • Include a visible signature block on the invoice, not just an invisible cryptographic layer.
