What Should a Professional Invoice Include?

Short answer: A professional invoice must include the word "Invoice", a unique invoice number, issue and due dates, your business and tax details, the client''s details, itemised line items with quantities and rates, subtotal, tax, total due, payment methods and payment terms.

Miss any of the first eleven and your invoice can be rejected, delayed, or disallowed for tax purposes.

Required vs optional fields

Always required: Invoice label, invoice number, dates, supplier and customer identity, description of goods or services, amounts, tax breakdown, total.

Required in many jurisdictions: Tax registration number (VAT/GST), company registration number, place of supply for cross-border services, reverse charge wording for B2B EU sales.

Optional but valuable: Purchase order number, project name, payment link, accepted payment methods, late payment policy, thank-you note, your logo.

Field-by-field detail

Invoice number

Sequential and unique. Never reuse or skip deliberately. INV-2026-0043 is more useful than 43. Details in our invoice numbering guide.

Dates

Show both issue date and due date, written in an unambiguous format (14 March 2026, not 03/14/26) especially for international clients.

Line items

One line per deliverable. "Website design" is weak; "Homepage design — 12 hours @ $85" answers the question before it is asked. Vague line items are the number-one cause of payment queries.

Tax

Show the tax rate, the label used in your country, and the tax amount separately from the subtotal. If you are not registered for VAT/GST, say so briefly rather than showing a 0% line with no explanation.

Payment terms

State the terms in words: "Payment due within 14 days of the invoice date. A late fee of 1.5% per month applies to overdue balances." See invoice terms and conditions.

Payment methods

Give at least two options, and make one of them instant (payment link or card). Every extra step between the invoice and paying costs you days.

Extras that get you paid faster

  • A clickable pay button rather than bank details only.
  • The client''s PO or reference number in the header so their AP system routes it correctly.
  • A named contact — invoices sent to info@ disappear.
  • A short, polite email body summarising the amount and due date.
  • Automated reminders at 3 days before due, on the due date, and 7 days after.

What a professional invoice should not include

  • Handwritten amendments or crossed-out figures.
  • Vague catch-all lines like "Consulting — $4,000" with no breakdown.
  • Different totals in the email body and the PDF.
  • Personal bank account details when you invoice as a company.
  • Emojis or informal language in the document itself.

FAQ

Is an invoice legally binding? An invoice is a demand for payment based on an underlying agreement. It is evidence of a debt, but the contract or accepted quote is what creates the obligation.
